Services Team Administrator – Jigsaw

This is a full time post reporting to the Director of Services. The Services Team Administrator will have responsibility for the day to day administration support, primarily for the Director of Services and Clinical Director, to ensure efficient programme delivery across our network of services.

PRIMARY RESPONSIBILITIES

  • Day to day administrative and secretarial support for the Director of Services, Clinical Director and wider Jigsaw services team to ensure efficient programme delivery.

  • Scheduling / diary management for the Director of Services & Clinical Director.

  • Calendar management and scheduling for the Jigsaw Services Team.

  • Organising meetings and facilities for a range of forums (including Jigsaw Learning Networks) and providing administrative support as appropriate.

  • Coordination and administration of ongoing programmes of work for the Jigsaw Services Team.

  • Monitoring and coordination of certain compliance requirements (e.g. child protection training) for Jigsaw National Office.

  • Management and maintenance of the Jigsaw contact lists.

  • Coordinating the updating and dissemination of the Jigsaw Services Manual.

  • Minute taking at a variety of meetings including the Jigsaw Management Forum.

  • Coordination and dissemination of a shared calendar of meetings, events, and training for the Jigsaw network.

  • Coordination/updating of a shared list of projects.

  • Administration of shared document libraries, including management of user permissions.

  • Collation of information for reports to the Jigsaw Board and subcommittees.

  • Developing standard presentations for the Jigsaw team.

  • Assisting in the general running of the office, including occasional reception duties and administrative tasks.
