Key responsibilities

The responsibilities specified below are not intended to be exhaustive, and flexibility in the allocation of specific duties will be required. As the Finance Administration Executive, you will:

  1. Working with the Finance team manage elements of operational expenditure including:
  2. Raising purchase requisitions for supplier expenditure,
  3. Assisting with general accounting preparation and month end reconciliations,
  4. Preparing fortnightly payroll,
  5. Reconciling credit card receipts to statements and preparing a monthly journal.
  6. Liaise with the Financial Accountant/Gift administrator to support gift acknowledgement process by:
  7. Preparing and issuing receipts,
  8. Issuing donor expenditure forms to the relevant University departments,
  9. Preparing standard gift forms & agreements,
  10. Uploading tax relief forms to Raiser's Edge (customer relations database),
  11. Assisting with pledge and income reports.
  12. Reviewing and vouching relevant documentation for grants awarded by ancillary College entities, as directed.
  13. Liaise with the Alumni Giving team to ensure credit card and stripe donations are processed, cash & cheques are lodged, and all gifts received are updated to Oracle (financial information system).
  14. Provide general clerical assistamce to the finance team.
  15. Work with the TDA teams in delivering the respective goals of the University.
  16. Undertake other duties as may be assigned from time to time by your line manager.


Qualifications & Experience

  • Third-level qualification or professionally trained with appropriate qualifications.
  • Experience with bookkeeping, account reconciliations or accounts preparation is essential.
  • Strong computer skills - MS Office packages (Word, PowerPoint, Excel).
  • Knowledge of the Oracle Financial Information System is desirable.
  • Experience with customer relationship management databases is desirable.
